- Draft correspondence, emails, and other communication on behalf of the MD/CEO.
- Conduct research on industry trends, market analysis, and competitive landscape to support learning, consulting and coaching programs.
- Prepare reports, presentations, and other deliverables for clients and internal stakeholders.
- Assist in preparing strategic plans and business proposals.
- Analyze data and present findings to assist in decision-making processes.
- Coordinate and schedule meetings, take minutes as required, manage calendars, and prioritize appointments for the MD/CEO.
- Manage travel arrangements, including booking flights, accommodations, and transportation for business trips.
- Provide administrative support to the Management Team, and external stakeholders (including drafting correspondence, preparing presentations, and compiling data for reports) to ensure smooth workflow and project execution.
- Assist with HR-related tasks, such as CV review, new hire onboarding, employee orientation, and personnel file management.
- Ensure periodic upload of engaging contents on CADsync’s social media platforms, in line with approved content calendar.
- Coordinate office events, including staff meetings, training sessions, and social gatherings, assisting with logistics, catering, and setup as needed.
- Manage office supplies, equipment, and inventory levels, order supplies as needed, and ensure proper maintenance of office facilities.
- Maintain electronic and paper filing systems, organize documents, and ensure accuracy and accessibility of records.
- Process invoices, expense reports, and other financial documents, ensuring accuracy, approval, and timely payment.
- Monitor and maintain office cleanliness, organization, and appearance, coordinating with cleaning staff or facilities management as needed.
- Compile and maintain contact lists, directories, and organizational charts for the office.
- Handle confidential and sensitive information with discretion and confidentiality, following company policies and data privacy regulations.
Requirements for CADSYNC Consults Limited Internship Programme
- Bachelor's or Master’s degree (Added Advantage) in the humanities - Psychology, Sociology, business administration, finance or a related field.
- Proven experience as an executive assistant, or administrative support.
- Strong organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally with employees, clients, guests, and vendors.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and office equipment (e.g., printers, scanners, copiers).
- Attention to detail and accuracy in performing administrative tasks, maintaining records, and managing documentation.
- Ability to work independently with minimal supervision and as part of a team, demonstrating initiative, reliability, and flexibility.
- Knowledge of office management principles, procedures, and best practices.
- Familiarity with basic accounting principles and office finance procedures (e.g., invoicing, expense tracking).
